    Description

    We are seeking a full time Sales Coordinator.

    The ideal candidate should possess administrative experience with a dynamic personality to support the sales team.

    Duties will include but are not limited to answering phones, processing letters, contracts and proposals, working with groups utilizing our meeting room and overall office support.

     

    The Sales Coordinator is an extension of the client and their guests by ensuring the timely distribution of group information to appropriate departments in the hotel and being the on-site contact for them during their programs.

    Job Duties include:

    • Interaction with clients to determine needs and direct staff accordingly; responding to telephone and walk-in inquiries of potential guests
    • Produce group resumes and maintain detailed files, records and trace systems.

    • Produce group resumes and maintain detailed files, records and trace systems.
    • Update and prepare VIP amenity list daily. Make sure that all special arrangements and client requests are set up for incoming groups
    • Create parking coupons, and breakfast vouchers for groups as needed
    • Maintain SalesPro sales database as assigned
    • Process all group turnovers
    • Audit incoming groups
    • Negotiate, prepare and write contracts as needed
    • Review group billing and ensure group commissions are processed
    • Meet and greet clients, conduct property tours, and promote facilities and services as needed
    • Answer incoming telephone calls, completing lead forms for all inquiries and assist guests with questions, changes and special requests
    • Manage office administration – check processing, routing of incoming mail, calls, maintenance of departmental checkbook, preparation of gift certificates
    • Assign incoming leads
    • Maintain positive guest and employee relations and increase Guest Satisfaction scores by ensuring prompt, courteous and proper service

     Additional responsibilities will be assigned by the Director of Sales & Marketing as needed.

    Requirements

    Minimum Education and Experience

    • High school graduate or equivalent; some college preferred.
    • Two years’ administrative support and customer service experience; knowledge of hospitality / hotel sales is desirable
    • OR an equivalent combination of education and experience

    Requirements include strong organizational skills, customer service experience, computer skills including Word, Excel & Outlook, an outgoing personality and the desire to help others.

    SalesPro and hotel experience is preferred, but not required.
