Use a positive and clear speaking voice, listen to understand requests, respond with appropriate action and provide accurate information such as outlet hours and local attractions. - Complete the registration process by inputting and retrieving information with routine difficulty from a computer system, confirming pertinent information including number of guests and room rate. Promote Hotel's marketing programs. Make appropriate selection of rooms based on guest needs. Code electronic keys. Non-verbally confirm the room number and rate. Provide welcome folders containing room keys, certificates, coupons and refreshment center keys as appropriate. Requires continual standing and movement throughout front office area. - Verify and imprint credit cards for authorization using electronic acceptance methods. Handle cash, make change and balance an assigned house bank. Accept and record vouchers, travellers checks, and other forms of payment. Convert foreign currency at current posted rates. Perform accurate, moderately complex arithmetic functions using a calculator. Post charges to guest rooms and house accounts using the computer. - Promptly answer the telephone using positive and clear English communication. Input messages into the computer. Retrieve messages and communicate the content to the guest. Retrieve mail, small packages and facsimiles for customers as requested. - Close guest accounts at time of check out and ascertain satisfaction. In the event of dissatisfaction, negotiate compromise, which may include authorizing revenue allowances. - Remain calm and alert, especially during emergency and/or heavy hotel activity, and resolve complications such as location changes or credit issues. - Field guest complaints, conducting through research to develop the most effective solutions and negotiate results. Listen and extend assistance in order to resolve problems such as price conflicts, insufficient heating or air conditioning, etc.  Take ownership of guests challenges and follow through to ensure guest satisfaction. Remain calm and alert especially during emergency situations and heavy hotel activity. Plan and implement detailed steps by using experienced judgement and discretion. Other: Regular attendance in conformance with the standards, which may be established by Pyramid Hotel Groups from time to time, is essential to the successful performance of this position. Employees with irregular attendance will be subject to disciplinary action, up to and including termination of employment. Due to the cyclical nature of the hospitality industry, employees may be required to work varying schedules to reflect the business needs of the hotel. BOSTON HARBOR HOTEL   JOB SUMMARY The Assistant Controller is responsible for assisting the Controller in supervising and administering all aspects of the Accounting and data process functions in the Accounting Office for the Boston Harbor Hotel.   CANDIDATE PROFILE Education: Bachelor’s degree required, specializing in Accounting or Finance, Business Administration, and or related major; or equivalent experience is required.   Experience: - Minimum of 3 years of progressive Accounting Experience or in a similar role, preferably in the Hospitality Industry required. Accounting Management experience preferred.   KEY RESPONSIBILTIES The primary responsibilities for the Assistant Controller include but are not limited to: - Responsible for the monthly closing of the books and all related matters. - Ensure that all work performed by the Accounting staff is completed in an accurate, efficient and professional manner. - In conjunction with the Controller, hire, train and evaluate all employees in the Accounting Office. - Prepare monthly profit and loss statements (accrual basis), balance sheets and all other financial and statistical reports required by the company. - Reconcile and maintain all required backup work papers, schedules and other documentation for balance sheet accounts. - Cooperate and work closely with the company’s outside auditors. - Assist the Controller with related accounting activities including: periodic inventories, budget preparation and analysis and internal audit. - Make day-to-day decisions concerning accounting transactions in line with Boston Harbor Hotel operating policies and procedures. - Assist other hotel departments with financial information upon request. - Must be able to analyze and resolve issues that come up with regard to all aspects accounting and finance. - Review the work of the Night Audit Staff, Income Auditor, Payroll/General Cashier, Accounts Receivable and Accounts Payable. - Verify the coding of accounts payable invoices. - Review status of accounts receivables on a regular basis. - On a regular basis review the payroll and daily deposits for accuracy. - Communicate with other department heads to resolve any concerns or issues that may come up from time to time. - Prepare all journal entries for closing each accounting period.  Reconcile bank accounts on a monthly basis and Credit Card accounts on a daily basis to ensure that we received all monies owed. - Audit the General Cashier Vault on a regular basis (at least once a month). - Assist the Controller in any audits conducted by internal, external or government auditors. - Assist in inventory counts each month and quarter as needed. - Prepare and file all taxes as required by state, county and local laws and regulations. - Prepare monthly account reconciliation of all balance sheet accounts. - Serve in the duties of Controller as needed.   JOB QUALIFICATIONS In addition to performance of the key responsibilities, this position may be required to possess a combination of the following skills and experiences: - Demonstrated ability and proficiency in all areas of Accounting, from Accounts Payable, Accounts Receivable, General Ledger, Audit, Inventory Control, Payroll, Budgeting, Costing, P&L preparation and balance sheet reconciliation. - Strong organizational and analytical skills, along with demonstrated ability to multi-task and prioritize in a fast-paced work environment. - Demonstrated ability to work with maximum efficiency, accuracy and attention to detail. - Ability to effectively lead and work cohesively as part of a team. - Ability to exercise sound logic and judgment in evaluating situations and utilizing appropriate resources. - Must be self-directed, motivated and demonstrate exceptional customer service and interpersonal skills. - Ability to communicate effectively in the English language both verbally and in writing. This role has various weekday PM shifts with a required PM Sunday and Monday shift.     Key Responsibilities: Guest services - Maintains a commitment of excellence to customer service and satisfaction, exceeding guest expectations throughout their restaurant and hotel experience. - Approach all encounters with guests and employees in a professional, attentive, friendly, courteous and service oriented manner. - Work quickly and independently in handling guest inquiries or to resolve operational and/or guest concerns, ensuring follow through with appropriate manager(s) Food and Beverage Department - Ensures supplies are properly stocked; communicating with the Food and Beverage Direct shortages and assists with ordering supplies as necessary. - Assists with preparing and monitoring budget of expenditures and projected incomes. - Assist in maintaining food and beverage costs by monitoring inventory and coordinating inventory control - Assist the Food and Beverage Manager in wage progress and productivity reports; utilize management tools to control labor cost. - Manage and monitor product quality and service scores and satisfaction trends, evaluate and address issues and make improvements accordingly. - Ensures proper bookkeeping and hotel policies are followed. - Responsible for daily reports and manager log book entries. - Assist in monthly food and beverage inventories and reconciliations. - Attends mandatory weekly management meetings and participates in agendas. - Maintain high standards of personal appearance and grooming which include wearing the proper uniform and name tag when working. - Be familiar with the organization of Pyramid Global Hospitality Hotels and know the function of each department. Staffing - Supervise, support, assign daily work, inform and train team members in all restaurant activities and operations - Assist in preparation of staff schedules according to business forecast maintaining adherence to wage control productivity standards and guest service scores. - Monitor, observe and staff performance; assist Food and Beverage Director in conducting employee performance appraisals. - Ensure employees are at all time’s attentive friendly helpful and courteous to guest’s employees and other managers. - Maintain close communication links with all employees seeking input regarding food and beverage issues and acting as a motivating influence. - Ensure all opening and closing side work is completed accurately on a daily basis by servers/bartenders. - Monitor and follow up on all servers' cash overages and shortages. - Follow company procedures and maintain proper consistent disciplinary actions, with documentation, for all Food and Beverage employees. Safety - Observe Health Department guidelines for food handling and sanitation so that guests and employees will not be in risk of cross-contamination, keeping compartment sinks, side boards, and refrigerators clean and sanitized. - Follow all company safety and security policies and procedures, including reporting accidents, injuries and unsafe work conditions and following up with any other appropriate management personnel - Ensure all employees are in compliance with health, safety, sanitation and alcohol awareness standards and requirements. - Reports any needed repairs immediately to Engineering using correct procedures - Be familiar with and able to react to emergency situations by knowing locations of fire and extinguishers and exits   * This list is not all inclusive, additional job functions would be discussed during interview.
